How to Fill a Government Job Application Form Without Mistakes: Step-by-Step Guide
Many government job applications are rejected not because the candidate was ineligible, but because of a wrong date of birth, a blurred signature, an unpaid fee, or a second application filed by mistake. These are small errors, but recruiting bodies treat the online form as a legal declaration, so a small error can cost you a full year. This guide walks you through the form step by step, in the order you will meet it, and points out where candidates usually slip. The examples come from recent official notices of the Staff Selection Commission (SSC), the Union Public Service Commission (UPSC) and the Institute of Banking Personnel Selection (IBPS).
Before You Open the Form
Good applications are prepared before you log in. Keep everything ready on your table and in one folder on your phone or computer.
1. Read the notification first
Download the official notice from the recruiting body's own website and read at least the sections on eligibility, age, fee, how to apply and the important dates. If you are not sure how to read a long PDF, see our guide on how to read an official recruitment notification.
2. Keep your Class 10 certificate in front of you
Your name, father's name, mother's name and date of birth must match your Matriculation (Class 10) certificate exactly. The SSC CHSL 2026 notice says candidates must write these details "strictly as given in the matriculation certificate", otherwise candidature may be cancelled at document verification. The UPSC ESE 2027 notice gives the same instruction for its Common Application Form. If your certificate says "Mohd." do not type "Mohammad". If your father's name has an initial, keep the initial.
3. Prepare your images and documents
Each portal has its own rules for photograph, signature and other uploads. SSC now captures your photo live through the camera, while UPSC and IBPS ask for both an uploaded photo and a live photo. 4. Use your own email and mobile number
All communication, including admit card alerts and result updates, comes to the email and mobile number you enter. The SSC notice clearly says requests to change the mobile number and email will not be entertained later. Do not use a cyber cafe owner's number or a friend's email.
Step 1: One-Time Registration (OTR)
Most central recruiting bodies now use a one-time registration. You create it once and reuse it for every exam.
- SSC: The OTR must be made on the new website, ssc.gov.in, or the mySSC mobile app. The notice states that an OTR made on the old website (ssc.nic.in) does not work on the new one.
- UPSC: You create an account and generate a Universal Registration Number (URN) on upsconline.nic.in, then fill the Common Application Form and the exam-specific form.
- IBPS: Each recruitment has its own registration link, and you get a provisional registration number and password after the first step.
Write down your registration number and password on paper as well. Many candidates lose access in the final week because they forget the password and the OTP goes to an old number.
Note: SSC advises candidates to opt for Aadhaar-based authentication during OTR. The CHSL 2026 notice says applications of candidates who authenticate through Aadhaar will not be rejected on the ground that the photo or signature is not as per standard.
Step 2: Personal Details
This is where most permanent mistakes happen, because many of these fields cannot be changed later.
Name and date of birth
Copy exactly from the Class 10 certificate. SSC's notice says the date of birth recorded in the Matriculation certificate will be accepted for age, and no later request for change will be considered.
Category
Select SC, ST, OBC, EWS or Unreserved only if you hold, or can get, a valid certificate in the format given in the notice. If you choose OBC but cannot show a valid non-creamy layer certificate at document verification, your candidature can be cancelled. The SSC notice gives exactly this example. Disability (PwBD) and ex-servicemen status
Mark PwBD only if you have a disability certificate from a competent authority, and select the correct sub-category. SSC says the PwBD sub-category cannot be changed later. Sons, daughters and dependents of ex-servicemen should not mark themselves as ex-servicemen.
Identification mark and photo ID
Choose a visible mark. You may be asked to show it at the exam centre. For UPSC, note the photo ID number you enter in the URN profile, because you will carry the same ID to the exam.
Step 3: Education and Eligibility
Fill the marks, board or university, and year of passing carefully. Two points matter more than candidates think:
- Result date: Your qualifying result must be declared on or before the cut-off date given in the notice. For SSC CHSL 2026 this was the closing date, 07.10.2026. The notice says a result that is only "being processed" by that date does not count.
- Equivalent qualification: If your degree or diploma is "equivalent" rather than the exact one asked for, you must later show the order that declares it equivalent.
Step 4: Exam Centre and Post Preferences
Pick exam centres you can reach without difficulty. Recruiting bodies can move you to another centre, but they do not move you because of your personal convenience after the form is closed.
Some exams ask for post preferences in the form itself. In SSC exams like CHSL and CGL, preferences are taken later through an online option form. Either way, treat preferences as final. The SSC notice says once you get a post as per your merit and preference, you will not be considered for other options, and if you fail that post's physical or medical standard you are not shifted to another post.
Step 5: Uploads
Follow the specifications for each portal. Common reasons for rejection are:
- A signature in CAPITAL LETTERS (IBPS does not accept it).
- A blurred or very small signature (SSC rejects "blurred/miniature" signatures).
- Capturing a photo of an old printed photograph in SSC's live capture (the notice says such applications will be rejected).
- Uploading the wrong file in the wrong box, such as a signature in the photo box.
IBPS states that if your signature on the attendance sheet or call letter does not match the uploaded signature, you can be disqualified. Sign the same way every time.
Step 6: Preview, Declaration and Fee
Preview every field
Use the Preview or Print option and read the full form slowly, ideally the next morning with fresh eyes. Check spellings, dates, category and the centre code.
Read the declaration
The declaration at the end makes you responsible for every entry. SSC warns that any concealment or misrepresentation can lead to cancellation of candidature.
Pay the fee and confirm the status
After payment, check the payment status inside your login. SSC applications whose fee is not received are shown as "Incomplete" and are rejected. Fee once paid is generally not refunded. Women, SC, ST, PwBD and eligible ex-servicemen candidates are exempt from the SSC fee, but always confirm the exemption list in the notice you are applying for.
Step 7: After Submission
- Save the final form as PDF and print it. SSC advises keeping your application and related documents for at least three years.
- Never submit a second application. SSC allows only one application per candidate. If more than one is detected, all of them can be rejected.
- Use the correction window if you made a mistake. SSC opens a short correction window after the last date. In CHSL 2026 it allowed two corrections, with charges of ₹200 for the first and ₹500 for the second. UPSC's ESE 2027 notice, on the other hand, says no withdrawal or correction is allowed after submission. Rules differ, so check your notice.
- Watch the official website. SSC says its website is the primary source of information and it is not bound to send individual SMS or emails.

Frequently Asked Questions
Can I fill the form on my mobile phone?
Yes, for many exams. SSC has the mySSC app and its website works on mobile browsers. Other portals can usually be opened in a mobile browser too. A laptop or desktop is still easier for uploading files and checking the preview.
What if I made a mistake after final submission?
Check whether the notice offers a correction window. SSC offers one with a fee. If the notice says no correction is allowed, contact the helpline given in the notice, but do not file a second application.
Should I use a cyber cafe?
You can, but sit with the operator and check every field yourself. Use your own mobile number and email, and log out after you finish. You are responsible for the entries, not the cafe.
My father's name is spelled differently in Aadhaar and my Class 10 certificate. Which one should I use?
Use the spelling in your Class 10 certificate, because SSC and UPSC both ask for that. Keep supporting documents ready in case you are asked about the difference.
Is a printout of the form required to be sent by post?
Normally no. SSC says the printout is not required to be sent to the Commission, but you should keep it for your records. Some departments ask for it at later stages, so keep a copy safe.
