Documents Required for Document Verification in Government Jobs: Complete Checklist
Clearing the written exam is not the end of a government recruitment. Before an appointment letter is issued, the recruiting body or the department that will employ you checks your original documents. This step is called document verification, or DV. It is where every claim you made in the online form is matched against a certificate. A missing certificate, a name mismatch or a category certificate in the wrong format can cancel a selection that took a year of preparation. This guide lists the documents most commonly asked for in central government recruitments. It uses the SSC CHSL 2026 notice as the main reference and adds practical tips on arranging documents early.
When Does Document Verification Happen?
It depends on the recruiting body:
- SSC exams: The CHSL 2026 notice says DV is conducted by the user ministries, departments and organisations after the final result is declared.
- UPSC exams: The ESE 2027 notice says the Commission verifies eligibility with original documents only after a candidate qualifies for the personality test or interview. It also says issuing an admit card does not mean candidature is finally cleared.
- Bank and other recruitments: These usually verify documents at the interview or joining stage. The exact stage is given in the notice.
In every case, candidature until DV is provisional. If a claim in your application is not supported by documents, the candidature can be cancelled at any stage.
The Core Document List
Section 16.5 of the SSC CHSL 2026 notice lists the documents candidates must submit at DV. In plain words:

The notice also asks candidates to bring photocopies along with the originals, and photo identity proof as listed for the exam.
Category Certificates: Where Most Problems Happen
OBC (non-creamy layer)
A person seeking OBC reservation must not fall in the creamy layer on the crucial date, which in SSC exams is generally the closing date of applications. The certificate must be in the format given in the notice (Annexure-X in CHSL 2026). The SSC notice gives a clear warning: if a candidate fills OBC but cannot produce a valid OBC certificate at DV, the candidature will be cancelled.
EWS (Income and Asset Certificate)
EWS candidates need an Income and Asset Certificate in the prescribed format. Its validity is tied to a financial year. The CHSL 2026 notice asks for a certificate valid for the financial year 2026-27, issued on the basis of income for 2025-26. If you apply for an exam in a different year, the years change, so check your notice.
SC and ST
The certificate must be issued by a competent authority in the format given in the notice. SSC notices make the same point for all categories: you must belong to the category on the crucial date, but the certificate itself does not have to be dated before the closing date.
PwBD
The disability certificate must be from a competent authority and should clearly mention the type of disability. SSC also says the PwBD sub-category selected in the form, such as OH, HH or VH, cannot be changed later.
Important: SSC notices warn that candidates who fraudulently claim SC, ST, OBC, EWS, PwBD or ex-servicemen status can be debarred from its examinations.
If Your Name Changed After Class 10
The CHSL 2026 notice lists what to bring in each situation:
- Women, after marriage: husband's passport showing the spouse's name, or an attested marriage certificate from the Registrar of Marriages, or an affidavit from husband and wife with a joint photograph sworn before an Oath Commissioner.
- Women, after remarriage: divorce deed or death certificate of the first spouse, plus one of the marriage proofs above for the present marriage.
- Women, after divorce: certified copy of the divorce decree and a deed poll or affidavit sworn before an Oath Commissioner.
- Any other name change (men and women): deed poll or affidavit sworn before an Oath Commissioner, original cuttings from two leading daily newspapers (one from the area of your permanent and present address), and the Gazette notification.
Gazette notification takes time. If you plan to change your name, start the process well before you apply.
Education Certificates: The Result Date Rule
Your qualifying result must be declared on or before the cut-off date in the notice. The SSC notice says candidates must produce mark sheets or provisional certificates showing that they had the qualification by that date, and that a result merely "being processed" does not count. If your university issues the degree later, keep the provisional certificate and the result notification that shows the declaration date.
How to Prepare: A Practical Checklist
- Make a folder now, not after the result. Put originals in a waterproof file.
- Make two sets of self-attested photocopies of every document.
- Keep a digital copy of each document as a clear PDF scan on your phone and email.
- Check spellings across Class 10, Class 12, degree, Aadhaar and category certificates. Fix differences early, with an affidavit if needed.
- Renew time-bound certificates such as EWS and OBC non-creamy layer for the financial year the notice asks for.
- Keep passport-size photographs similar to the one in your application.
- Carry your application printout and admit card for that exam.
- Read the DV call letter and tick off every item it lists.
On the Day of Verification
- Reach early, with originals and photocopies arranged in the order of the list.
- Answer questions honestly. If a document is missing, ask whether you can submit it within a fixed time, and get that in writing if allowed.
- Do not hand over originals unless the notice or official instructions say so. Usually originals are seen and returned, and photocopies are kept.
- Keep any receipt or acknowledgement you are given.
Frequently Asked Questions
Is Aadhaar enough as proof of date of birth?
For the exam centre, a photo ID with date of birth is usually accepted. For DV, SSC treats the Matriculation certificate as the record for date of birth, so carry it.
My OBC certificate was issued after the closing date. Is it valid?
SSC notices say the certificate date itself does not have to be before the closing date. What matters is that you belonged to the category, and were not in the creamy layer, on the crucial date. The certificate must still be in the required format.
What happens if I miss my DV date?
Contact the department or regional office named in the call letter immediately, in writing. Whether a new date is given depends on that department's rules.
Do I need an NOC if I work in a private company?
The SSC list asks for an NOC from candidates already employed in government or government undertakings. Private employees generally do not need one for DV, but check your call letter.
Are photocopies required to be attested by a gazetted officer?
Self-attestation is common now, but some departments ask for attestation. Follow the call letter.
